Position Overview
We are looking for a professional, welcoming, and organized Office Receptionist to join our team at our Tokyo headquarters. As the first point of contact for our company, you will represent our corporate image to visiting clients, international partners, freight vendors, and courier services.
In this office-based role, you will manage front-desk operations, handle incoming phone calls, and provide core administrative assistance to ensure the smooth, professional daily operation of our office.
Key Responsibilities
Front Desk & Visitor Management
- Welcome visitors, clients, and partners with professional Japanese business etiquette (Omotenashi).
- Manage the reception area, meeting rooms, and visitor schedules to ensure high standards of cleanliness and organization.
- Direct guests to appropriate meeting spaces and notify internal staff upon visitor arrivals.
Call Handling & Correspondence
- Answer and route incoming telephone calls promptly and professionally in Japanese and English.
- Receive, sort, and distribute incoming mail, courier packages, and shipping documents.
- Manage outgoing mail, courier dispatching, and incoming document logs.
Administrative & Operational Support
- Assist the Office Manager and administrative team with basic data entry, document scanning, and filing.
- Monitor and maintain inventory for office supplies, reception refreshments, and administrative materials.
- Support logistics teams with basic client inquiries and route specialized operational calls to the correct department.
Qualifications & Requirements
- Experience: 1–3 years of experience in a receptionist, front-desk, or customer service role in Japan (experience in a corporate or logistics environment is a plus).
- Language Proficiency:
- Japanese: Native level with fluent command of Keigo (formal polite speech).
- English: Business/Conversational level (ability to handle basic phone calls and greet international guests smoothly).
- Interpersonal Skills: Warm demeanor, excellent communication skills, and a presentable, professional corporate appearance.
- Cultural Knowledge: Thorough understanding of Japanese business protocol (Meishi exchange, formal greetings, seating arrangements).
Technical Skills
- Basic proficiency in MS Office (Outlook, Word, Excel).
- Familiarity with standard office equipment (PABX phone systems, multifunction printers).
